Treatment Coordinator

Position Description:
The Treatment Coordinator is responsible for the coordination of activities for assigned dental team, made up of the doctor, and the assistants; daily to provide patients with quality care.
Stimulate case acceptance opportunities that result in the practice reaching production goals, along with the growth of the client base through appropriate follow-up with patients per month.
Reports directly to the Office Manager.
Accountable to assigned doctor for patient schedules and relations.

Responsibilities:
Ensure that patient accounts are maintained in accordance with Dental Associates of Delaware (DAD) policies and standards.
Establish effective communication with patients and provide exceptional customer service.
Participate fully and focus positive energy on activities that promote practice health.
Reduce the opportunities for stress and miscommunication by leading a huddle each morning, with a review at the end of the day.
Oversee the daily schedules to avoid ineffective schedules that tax the team and reduce efficiency.
Work to ensure that no patient leaves the practice without a follow-up appointment.
Attain 90 % of case acceptance of all cases presented with follow-up on the remainder when possible.

Maintain doctor schedules in an accurate and concise manner.

Coordinate hygiene appointments with the doctor, hygienist and recall department to ensure all patients receive regular oral care on a consistent basis as prescribed.

Confirm with the patient, that their appointment was confirmed.

Monitor daily schedules, communicating with assistants, hygienists, front desk, and manager as appropriate, with changes in patient appointments.

Responsible for team's patient accounts, collections and chart maintenance including updated personal information, insurance information and communication documentation.

Responsible for processing and procuring patient account payments and for the documentation and maintenance of all financial agreements made with patient.

Process and follow up on all patient account insurance claims, update insurances.

Responsible for new patient processing and orientation including mailing NP packet information, discussion of services and fees and practice philosophies, collecting records from pervious doctor.

Coordinate with doctors and assistants to ensure quality care and treatment plans for all patients.

Assist doctor and team in educating patients on prescribed treatment.

Communicate all patient concerns and questions to team doctor and assistants.

Communicate with front desk staff to address concerns/requirements regarding patients.

Handle all telephone calls for team's patients (and others as needed) responding to all callers in a friendly, professional, and timely manner.

Run and review specific reports to facilitate reactivation of patients, completion of open treatment plans and motivation of delinquent patients, inactive patients account.

Act as practice representative to public and prospective patients in an effective, friendly, and professional manner.

Forward authorized patient information (such as charts, x-rays, etc.
) to internal and external sources as appropriate.

Communicate changes in team schedules to office manager and/or scheduling coordinator to facilitate efficient utilization and allocation of available resources to other teams, as necessary.

Distribute mail to doctor.

Perform typing and other administrative duties as requested by doctor and/or office manager.

Manage patient communication and interaction, and personal notes.

Take notes during treatment planning with doctor and put into QDW.
Schedule follow up appointment and review financial options.

Complete and send BA/CA lettersA'.
Reschedule any missed or broken appointments.

Collect money due and post payment.
